Role Summary

Softhills Limited is seeking an HR Officer who can recruit efficiently, coordinate employee onboarding, maintain HR records, and promote a positive workplace culture.

The role involves supporting recruitment activities, monitoring employee performance, maintaining attendance records, preparing HR documentation, and ensuring staff remain motivated, accountable, and productive. It is well suited to professionals with strong organizational skills and experience managing multiple HR responsibilities simultaneously.

Key Responsibilities

Recruitment and Hiring

The HR Officer will manage the recruitment process from sourcing candidates to preparing employment documentation.

Responsibilities include:

  • Create and publish job vacancies on recruitment platforms, social media, WhatsApp groups, LinkedIn, and other hiring channels.
  • Source qualified candidates for customer service, logistics, marketing, operations, warehouse, administration, and sales roles.
  • Screen CVs and job applications.
  • Contact and interview prospective candidates.
  • Coordinate interview schedules with department heads and management.
  • Prepare interview questions and candidate assessment forms.
  • Maintain recruitment trackers showing applicants, interview stages, successful candidates, and rejected applicants.
  • Follow up with shortlisted candidates throughout the recruitment process.
  • Prepare offer letters and other employment documents.

Onboarding and Training Support

The successful candidate will help ensure every new employee receives a smooth onboarding experience.

Responsibilities include:

  • Welcome newly hired employees.
  • Guide staff through the onboarding process.
  • Explain company policies, culture, values, and expectations.
  • Coordinate employee documentation and personnel files.
  • Work with team leaders to ensure employees receive role-specific training.
  • Monitor probation periods and remind management when employee reviews are due.

Culture and Staff Engagement

Maintaining a positive workplace culture will be an important part of the role.

The HR Officer will:

  • Promote teamwork, accountability, ownership, discipline, and customer-focused values.
  • Organize staff recognition activities, birthday celebrations, team-building events, and employee appreciation initiatives.
  • Encourage positive communication across departments.

Attendance, Discipline, and HR Administration

The HR Officer will oversee several administrative responsibilities that ensure compliance with company policies.

Key duties include:

  • Monitor attendance, punctuality, absenteeism, and leave requests.
  • Maintain accurate employee records and HR documentation.
  • Prepare offer letters, confirmation letters, warning letters, exit forms, and other HR documents.
  • Support the implementation of workplace policies and standards.
  • Assist with disciplinary procedures when required.

Performance Support

The role also includes supporting employee performance management initiatives.

Responsibilities include:

  • Work with department heads to monitor employee performance and probation progress.
  • Help ensure every employee understands their responsibilities and expectations.
  • Collect weekly performance updates from team leaders.
  • Identify underperforming employees and report concerns to management.

Qualifications and Requirements

Applicants should possess the following qualifications and experience:

  • Minimum of an HND or Bachelor’s Degree in Human Resources, Business Administration, Psychology, Management, or a related discipline.
  • Between 3 and 5 years of experience in Human Resources, Recruitment, Administration, or People Operations.
  • Experience in e-commerce, retail, logistics, customer service, or a fast-paced startup environment is an added advantage.
  • Strong communication and interpersonal skills.
  • Ability to recruit efficiently while managing multiple vacancies.
  • Excellent organizational and time-management abilities.
  • Working knowledge of Google Sheets, Microsoft Excel, Google Docs, and basic HR tools.
  • Ability to work under pressure and meet deadlines.
  • Professionalism, confidentiality, discipline, and trustworthiness.
